Confirm appointment and documents
Confirm the window with the carrier or broker and check receiving rules. Stage the purchase order, packing list, bill of lading and contacts your operation uses. Share dock numbers and gate instructions in advance.
Clear access and check equipment
Walk the approach for turning room, clearance and restricted routes. Check forklifts, pallet jacks, dock equipment and staging space. For a floor load, plan suitable labor and unloading method.
Assign a receiving lead
Align the crew with the appointment. Brief them on counts, handling and storage locations, and agree who resolves shortages or damage.
Inspect and document
Compare the load with paperwork while the driver is present when feasible. Note visible damage or shortages on the receipt, take photos and follow the contract's claims process. Documentation helps but does not guarantee a claim outcome.
Plan what follows
Keep receipt records tied to the container and purchase order. Read what drayage means for the port leg. Detention and rescheduling fees depend on the specific agreement; a checklist cannot guarantee zero fees.
